We’re excited to announce a new set of updates for Instanta, designed to provide a better experience, streamline your fleet and facility management processes, and make your job easier and more efficient.

This release brings a mix of new features, functional improvements, and UX enhancements, all focused on empowering you to get the most out of your assets and manage your fleet and facilities with greater control and visibility.

Here’s a quick overview of what’s new:

1. Migrated Haulage Journey Module to New Version

We’ve streamlined Instanta Fleet by migrating the Haulage Journey module to the latest Instanta version.

Benefits
You (Haulage clients) no longer need to switch between old and new versions – everything you need is now in one convenient place.

Analytics Improvement – Vehicle Overview Page

The vehicle overview page is one of the analytics improvements added to instanta fleet. It aims to provide quick insight and a bird’s-eye view of your fleet operations.

You can access valuable insights into the lifetime/total cost of ownership of each vehicle in your fleet.

b. It empowers you to make informed decisions about vehicle disposal, identify high-performing assets, and optimise your fleet composition for maximum cost-efficiency.


c. Gain real-time visibility into the current status of your vehicles, including pending maintenance needs and document renewals.

d. You can address potential issues before they escalate, minimising downtime and maximising operational efficiency.

3. Fleet Maintenance – Accurately Schedule with Workshop Hours

We’ve made managing your fleet maintenance even smoother. This new feature lets you configure and change the working hours and closed days of workshops directly in Instanta Fleet.
Non-working hours and closed days can be excluded.

Benefits

a. Work with realistic estimates. You can make more accurate estimates of when your vehicles will be ready after maintenance.

b. Instanta Fleet will utilise actual workshop hours to calculate service level agreements (SLAs). This translates to more accurate performance reports, allowing you to make informed decisions about your fleet management.

4. Stay on Top of your Subscriptions with Automated Notifications

We’ve added a new feature to keep you informed about upcoming subscription renewals in both Instanta Fleet and Facility.

Now, alongside the in-app banner within Instanata, automated emails will be sent to all relevant parties (users and non-users) to ensure everyone involved in subscription payment is aware of upcoming expiries and plans towards it.

Functional and User Experience (UX) Improvements

1. Approve Fleet Reservations Anywhere via the Mobile Website

We’ve made reserving vehicles even easier! Now, fleet supervisors can approve or decline reservations directly through the Instanta mobile website.

a. Avoid email delays and eliminate the need for email approvals. Approve or decline reservations instantly via the mobile website, no matter where you are.

b. All approvals are stored directly in Instanta, keeping your records organised and easily accessible.

2. Get a Clearer Picture of Your Fleet Mileage with Accurate Mileage Data

Inaccurate mileage data can throw a wrench in your fleet management plans. This can affect maintenance planning and fuel management. To help you maintain control and make informed decisions, we’ve added a new feature to the Instanta Fleet app that focuses on improving mileage data accuracy. 

Feature Focus

1. Set Maximum Mileage Values: Define the acceptable upper limit for mileage readings entered into the app. This helps prevent unrealistic data entry. 

2. Track Mileage Discrepancies: Configure a maximum allowable difference between consecutive mileage entries for a single vehicle. This helps identify potential errors or inconsistencies.

b. Ensure reliable fleet operation metrics (e.g. Cost per KM, KM per litre, etc.) reporting and analysis.

3. Photo Capture in Visitors Entry/ Exit

We’ve added a new feature to improve security at your facilities. Security personnel can now capture and upload photos of visitors (and their belongings) during entry and exit.

This simple addition strengthens your facility’s security and helps you maintain a safe environment.
